Section 1: Stem Center Tutoring Services are Virtual for 2020/Fall Quarter
--To connect, follow directions at: https://foothill.edu/tutoring/
--Once you connect, identify yourself as a STEM Center Student Tutor, and state the subject you are tutoring.
--The Host will place you in the appropriate breakout room, and students will join you there
Section 1.1: RECOMMENDATION for your STUDENTS
To streamline how students find you, please inform all students the following:
- To connect to your Study Session, follow directions at: https://foothill.edu/tutoring/
- Once the student tutee connects, inform the Host of their name, and reason why they
joined (for example to join the Study Session for their class). The Host will then
transfer them to your Study Session.
Section 1.2: AUTHORIZATION TO START WORK
You will need to receive the "Authorization to Start Work" email prior to commencing in your job role !
Section 1.3: STEM CENTER STUDENT EMPLOYEE POLICY REMINDER
STEM Center Student Employees MUST COMPLY with the following 3 policies:
(1) Can work up to 5 hour continuously. After 5 hours, Student Employees must take a 1-hour break minimum, before they continue.
(2) Can work up to 8 hrs per day. Student Employees are not permitted to work beyond 8 hours total per day.
(3) Can work up to 19 hours per week. Make sure that the total number of hours from ALL your jobs is not more than 19 hours. For example, if you work as a STEM Center Clerical Assistant and also work at the Foothill College Library, your total number of combined hours cannot exceed 19.
Section 1.4.1: HIRING PROCESS AS A FULL-TIME STUDENT EMPLOYEE

Section 1.4.2: HIRING PROCESS AS A TEA EMPLOYEE
Applicable to all Foothill College students registered for less than 12 units, (or not registered at all). Requires special approval from Division Dean.

Section 1.5: HOW INSTRUCTORS CAN ADD EMBEDDED TUTORS TO THEIR CANVAS COURSE SHELLS
Instructors need to complete the form at the following link so that we have all the information required

Section 2: JOB DESCRIPTION - INSTRUCTIONAL ASSISTANT
Job Title: Instructional Assistant (Also referred to as Embedded (in-class) Student Tutor.
Weekly requirements of Embedded Student Tutors are listed below, (students must be able to do all 4):
Each Instructional Assistant Embedded (In-Class) Student Tutor will:
1) Class Attendance: Attend the class they are assigned to.
--This helps review the material and see what the class is currently learning, get
to know the students in the class, and communicate regularly with the instructor on
expectations.
2) Study Sessions: Provide tutoring study sessions for the students in assigned and similar classes.
--This will be held outside of class , and will be 2-4 hours per week, and scheduled
as agreed between Instructor(s) and Embedded Student Tutor.
3) Study Session Prep: Set aside 1-2 hours for workshop preparation.
4) Math Tutor Training Class: Enroll and attend a 1-unit Math Tutor Training class (1 hour each week).
-- This course helps develop tutoring strategies and provides support for the tutor.
Section 3: TUTOR TRAINING REQUIREMENTS
- All STEM Center Instructional Assistants (Embedded In-Class Student Tutors) are required to complete the following 2 classes, (part of Physical Sciences & Engineering --> PSE)
- PSE-61A Tutor Training 1
- PSE-61B Tutor Training 2
- If you are selected as an Instructional Assistant, you will receive additional information
from the Tutor Training Class Instructor.
- If NEW STEM Center employee, please start on Week 1, by attending the orientation class.

PROCESS to REGISTER for TUTOR TRAINING:
Section 3.1: Select your class
--We are offering two options for our Week 1, 50-minute training classes for NEW tutors who have not yet taken LA and PSE 61A (choose 1):

WEEK 2 -- START REGULAR CLASS FOR ALL TUTORS
--The regular Tutor Training class schedule (i.e., the one in the portal) meets for all 61A and 61B students
--All EOPS, Embedded or Peer/TLC Tutors who took 61A can begin attending their 61B class week 2 of the quarter– they do not need to repeat the week 1 training class for new tutors; The Tutor Training Class Instructor will provide you with an add code once the quarter begins.
--Classes run Week 2 thru Week 10 of the quarter, and are 65 minutes long:

- (Step 1) In a browser, type "Class Schedule - Foothill College"
- (Step 2) Click on "Class Schedule - Foothill College"
- (Step 3) Select the appropriate"Quarter" and "Department" in Quick Search
- (Step 4) In the Department field, select "Physical Sciences & Education"
- (Step 5) Click the "Search" button.

- (Step 1) Sign in to myportal.fhda.edu
- (Step 2) Click Apps
- (Step 3) In the Student section, click on Student Registration
- (Step 4) Open Classes Finder
- (Step 5) Select the following:
- (Step 6) Term = term you are interested in tutoring
- (Step 7) Filter = All Courses
- (Step 8) Jump to Department = select Physical Science & Engineering
- (Step 9) Scroll down to find PSE 61A or PSE 61B
Section 4: Timecard and Timesheet Reporting
TUTOR TIME SHEET REPORTING REQUIREMENTS
Embedded Student Tutors are required to submit both of the below time reports:
- Hours Worked - submit online via myPortal
- Online timesheets for (a)Class Attendance, and (b)Study Sessions. See each specific section below with the process to do so.
Section 4.1: When and where to submit your Hours Worked (so Payroll can pay you): Tutors must submit their hours worked online at the end of each month, to get paid, The steps for entering your hours online are shown below:
- Step1: Go to myportal.fhda.edu and login with your myportal userid and password.
- Step 2: Click on Apps
- Step 3: Click on Payroll
- Step 4: Click on Time Submission
- Step 5: Enter your hours
- Step 6: Click Submit
Section 4.2: When and where to submit your Class Attendance and Study Group online timesheets:
Tutors are required report Class Attendance Time and Study Session Time by completing the online timesheets for:Each class they attend as an Embedded Tutor
Each Study Sesssion they lead. The 2 timesheets you will be using are listed below. Complete all fields and submit every time you attend class and have a study session.

Section 5.0: COMMON GUIDELINES for INSTRUCTOR and STUDENT TUTORS
- The following guidelines are provided as a facilitation tool for Faculty Tutor and Embedded (in-class) Student Tutor collaboration.
- SUBJECT FOCUS: Student Tutors are expected to help students, as directed by the Instructor..
- OUTSIDE OF COMFORT ZONE : In the event the Student Tutor feels uncomfortable assisting the student in a specific subject or topic, consult with the Instructor.
- Section 5.1: STUDY SESSIONS
- All study sessions are open to students from the class(es) the Student Tutor is embedded in, as well as other classes covering the same subject. For example, Students from Statistics class 1 can attend study sessions that a Statistics class 2 Embedded Tutor is having.
- Study sessions can occur right after the class, in the same Zoom session, or can join Online Tutoring, in a Brealout Room --> see foothill.edu/tutoring.
- (Option #2) As per reference shown below (Section VI Paragraph "H"), regarding student employee supervision, "...Whenever possible, the assigned supervisor should be in the same work area. ...". Keeping this in mind, a study session can also be held in either in the same classroom where the lecture takes place or a different available location that best serves the needs of your class. If the study session occurs in the Online Tutoring Zoom conference, then supervision of Study Sessions happens primarily from the STEM Center Faculty Lounge, although other faculty or staff in many cases arrange for their hours to coincide with study sessions.

Section 5.2: GUIDELINES SPECIFIC to STUDENT TUTORS
- The following guidelines are specific to Student Tutor responsibilities:

ARRIVAL and DEPARTURE: Each student is required to present themselves to the Instructors when they arrive in class to start their shift. Also let Instructors know when their shift is completed and the are leaving.
- SHARE YOUR NAME WITH THE CLASS: Share your name with the class. If ok, write your name on the board.
- BADGES: Each Student Tutor should be wearing a badge (even a hand-written one) identifying them as a "Student Tutor". (Student Tutor should ask the STEM Center Front Desk Hosts to make them a badge).
- ISSUE RESOLUTION: In the event of any type of issue, in a case where Student Tutor cannot resolve,
or simply has a question, Student Tutor should consult with the Instructor.

KEEP YOUR FOCUS on STUDENTS NEEDING HELP: Student Tutors should not engage in activities that distract them from focusing on helping the Instructor and students, such as doing their homework or having headsets on, or talking on their mobile telephone for non-emergency reasons, or chatting on their laptop for non-job-related topics.--Student Tutors should be walking around the room actively looking to help students, as dircted by the Instructor.--Focus has to be maintained at all times on helping the Instructor and the students.

FOUNDATIONS LAB OPENING and CLOSING PROCEDURES: Student Tutors shuld help with opening and closing duties, in class, as directed by the Instructor, including cleaning boards, and making sure there are dry-erase board markers available.
Section 5.3: GUIDELINES SPECIFIC to FACULTY TUTORS
- The following guidelines are specific to Instructor responsibilities regarding Student
Tutors, in addition to reviewing the above guidelines in Sections 5.0, 5.1, and 5.2
above:
- SUPERVISION and GUIDANCE: Student Tutors are under the supervision and guidance of Instructors at all times.
- TRAINING: Instructors are encouraged to consult with the Student Tutors, sharing their experience
and providing guidance on topics such as:
- understanding student learning styles
- understanding student concerns
- providing encouragement to the students
- Steps to take when they feel uncomfortable helping a student for any reason.
- What to do if an issue arises while helping a student or under any other circumstances.
- Ask Student Tutors if they have any questions or need help with something.
- SUPPORT ASSIGNMENTS: Faculty can assign Student Tutors to help via specific tasks, according to class needs.
- FEEDBACK : Provide feedback on how th STEM Center can improve the class experience, with Embedded
Student Tutor (Instructional Assistant) help.
