STEM Center Student Employees MUST COMPLY with the following 3 policies:

(1) Can work up to 5 hour continuously. After 5 hours, Student Employees must take a 1-hour break minimum, before they continue.

(2) Can work up to 8 hrs per day.  Student Employees are not permitted to work beyond 8 hours total per day. 

(3) Can work up to 19 hours per week.  Make sure that the total number of hours from ALL your jobs is not more than 19 hours.  For example, if you work as a STEM Center Clerical Assistant and also work at the Foothill College Library, your total number of combined hours cannot exceed 19.

Section 2:  JOB DESCRIPTION - INSTRUCTIONAL ASSISTANT

Job Title:  Instructional Assistant   (Also referred to as Embedded (in-class) Student Tutor.

Weekly requirements of Embedded Student Tutors are listed below, (students must be able to do all 4):

Each Instructional Assistant Embedded (In-Class) Student Tutor will:

1) Class Attendance:  Attend the class they are assigned to.
--This helps review the material and see what the class is currently learning, get to know the students in the class, and communicate regularly with the instructor on expectations.

2) Workshop Sessions:  Provide tutoring workshop sessions for the students in assigned class. 
--This will be held outside of class , and will be 2-4 hours per week, and scheduled as agreed between Instructor and Embedded Student Tutor.

3) Workshop Prep:  Set aside 1-2 hours for workshop preparation.

4) Math Tutor Training Class:   Enroll and attend a 1-unit Math Tutor Training class (1 hour each week). 
-- This course helps develop tutoring strategies and provides support for the tutor.

Section 3:  TUTOR TRAINING REQUIREMENTS

Select one of the below classes (PSE 61A or 61B), and day/time that works for your schedule.

Respond to the email you received regarding the Tutor class with your preferred class so you can receive the Add Code. 

PSE 61A Classes (for new, 1st time at Foothill, tutors)

PSE 61B Classes (for tutors who already have credit in in 61A)

All STEM Center Instructional Assistants (Embedded In-Class Student Tutors) are required to complete the following 2 classes, (part of Physical Sciences & Engineering --> PSE)

PSE 61A Tutor Training 1  

PSE 61B Tutor Training 2

Register for the appropriate class above by end of week 2 of the quarter

  1. In a browser, type "Class Schedule - Foothill College"
  2. Click on "Class Schedule - Foothill College"
  3. Select the appropriate"Quarter" and "Department" in Quick Search 
    • In the Department field, select "Physical Sciences & Education"
  4. Click the "Search" button.

 

How to find PSE 61A and PSE 61B on MyPortal

  1. Sign in to myportal.fhda.edu
  2. Click Apps
  3. In the Student section, click on Student Registration
  4. Open Classes Finder
  5. Select the following: 
    • Term = term you are interested in tutoring
    • Filter = All Courses
    • Jump to Department = select Physical Science & Engineering
  6. Scroll down to find PSE 61A or PSE 61B

Section 4:  TUTOR TIME SHEET REPORTING REQUIREMENTS

 Embedded Student Tutors are required to submit their hours online via myportal, as well as to complete physical paper timesheets. See each specific section below with the process to do so.

Section 4.1:  When and where  to submit your hours online (so Payroll can pay you):   Tutors must  submit their hours online at the end of each month, to get paid, The steps for entering your hours online are shown below:

  • Step1: Go to myportal.fhda.edu and login with your myportal userid and password. 
  • Step 2:  Click on Apps
  • Step 3:  C;ick on Payroll
  • Step 4:  Click on Time Submission
  • Step 5:  Enter your hours
  • Step 6:  Click Submit

 

Section 4.2:  When and where  to submit your (physical paper) timesheets:  Tutors are required to complete a (physical paper) timesheet for each class they attend as Tutor, and for each Study Sesssion they lead. The 2 timesheets you will be using are listed below. Click on each timesheet, print, and follow the instructions to  complete all fields.

  • Timesheet - Embedded Tutor -Study Session

Each page has duplicate fields for 2 individual entries. Tutors must  submit these forms to the STEM Center Main Lab Room 4213 by Monday of the following week to verify your hours for payment. Make sure you have the appropriate signatures and names. Simply drop your timesheets in the box on the side of the Front desk marked "Embedded Tutor Timesheets".

Section 5.0:  COMMON GUIDELINES for INSTRUCTOR and STUDENT TUTORS

The following guidelines are provided as a facilitation tool for Faculty Tutor and Embedded (in-class) Student Tutor collaboration.

  1. SUBJECT FOCUS:  Student Tutors are expected to help students, as directed by the Instructor..
  2. OUTSIDE OF COMFORT ZONE :  In the event the Student Tutor feels uncomfortable assisting the student in a specific subject or topic, consult with the Instructor.

 

Section 5.1:  STUDY SESSIONS

Study sessions are encouraged. The following 2 options are recommended:

(Option #1) As per day/time/frequency arrangement between the Instructor and Embedded Tutor, we recommend that the Study Sessions be held at the TLC. Primary benefits include: Known standard location, supervised by staff and faculty, Instructional Assistants can assist students from other classes, while giving priority to their own class. 

(Option #2) As per reference shown below (Section VI Paragraph "H"),  regarding student employee supervision, "...Whenever possible, the assigned supervisor should be in the same work area. ...". Keeping this in mind, a study session can also be held in either in the same classroom where the lecture takes place or a different available location  that best serves the needs of your class.

Section 5.2:  GUIDELINES SPECIFIC to STUDENT TUTORS

The following guidelines are specific to Student Tutor responsibilities:

  1. ARRIVAL and DEPARTURE:  Each student is required to present themselves to the Instructors when they arrive in class to start their shift.  Also let Instructors know when their shift is completed and the are leaving.
  2. SHARE YOUR NAME WITH THE CLASS: Share your name with the class. If ok, write your name on the board.
  3. BADGES:  Each Student Tutor should be wearing a badge (even a hand-written one) identifying them as a "Student Tutor". (Student Tutor should ask the STEM Center Front Desk Hosts to make them a badge).
  4. ISSUE RESOLUTION:  In the event of any type of issue, in a case where Student Tutor cannot resolve, or simply has a question, Student Tutor should consult with the Instructor.
  5. KEEP YOUR FOCUS on STUDENTS NEEDING HELP:  Student Tutors should not engage in activities that distract them from focusing on helping the Instructor and students, such as doing their homework or having headsets on, or talking on their mobile telephone for non-emergency reasons, or chatting on their laptop for non-job-related topics.
    --Student Tutors  should be walking around the room actively looking to help students, as dircted by the Instructor. 
    --Focus has to be maintained at all times on helping the Instructor and the students.
  6.   FOUNDATIONS LAB OPENING and CLOSING PROCEDURES:   Student Tutors shuld help with opening and closing duties, in class, as directed by the Instructor, including cleaning boards, and making sure there are dry-erase board markers available.

 

Section 5.3:  GUIDELINES SPECIFIC to FACULTY TUTORS

The following guidelines are specific to Instructor responsibilities regarding Student Tutors, in addition to reviewing the above guidelines in Sections 5.0, 5.1, and 5.2 above:

  1. SUPERVISION and GUIDANCE:  Student Tutors are under the supervision and guidance of Instructors at all times.
  2. TRAINING:  Instructors are encouraged to consult with the Student Tutors, sharing their experience and providing guidance on topics such as:
    • understanding student learning styles
    • understanding student concerns
    • providing encouragement to the students
    • Steps to take when they feel uncomfortable helping a student for any reason.
    • What to do if an issue arises while helping a student or under any other circumstances.
    • Ask Student Tutors if they have any questions or need help with something.
  3. SUPPORT ASSIGNMENTS:  Faculty can assign Student Tutors to help via specific tasks, according to class needs.
  4. FEEDBACK :  Provide feedback on how th STEM Center can improve the class experience, with Embedded Student Tutor (Instructional Assistant) help.

  1.  Not all classes are listed yet as this is work in progress. Thus the Spot #s listed are not continuous. 
  2. Math 248A is the support section for its counterpart Math 48A class
  3. Student Tutor last name is listed first. 
  4. Green background signifies all student employment process completed, and student authorized to start.  Yellow background signifies student employee still going thru process and not authorized to work yet.
