STEM Center Student Employees MUST COMPLY with the following 3 policies:

(1) Can work up to 5 hour continuously. After 5 hours, Student Employees must take a 1-hour break minimum, before they continue.

(2) Can work up to 8 hrs per day.  Student Employees are not permitted to work beyond 8 hours total per day. 

(3) Can work up to 19 hours per week.  Make sure that the total number of hours from ALL your jobs is not more than 19 hours.  For example, if you work as a STEM Center Clerical Assistant and also work at the Foothill College Library, your total number of combined hours cannot exceed 19.

Section 2:  JOB DESCRIPTION - CLERICAL ASSISTANT

Job Title:  Clerical Assistant   (Also referred to as Front Desk Student Host, and Front Desk Student Ambassador).

 

 

Each Clerical Assistant working in the TLC Front Desk must:

1) Be present in the Foundations Lab:  Provide support to the students located in the TLC STEM Center CS Lab and Business Lab, via the Front Desk.

2) Order and Cleanliness:  Keep the room in good order and clean. 

3) Checklist:  Follow the Checklist every 1/2 hour.

4) Special Projects:  Assist with Special Projects based on your expertise and interests. .

Section 3:  FRONT DESK STUDENT HOST  TRAINING REQUIREMENTS

All STEM Center Front Desk Clerical Assistants (Foundation Lab, Main Lab, and TLC)  MUST participate in one of the "STEM Center Front Desk Clerical Assistant" workshops for the 2019 Fall Quarter. 

  • An announcement will be send out to all Student Front Desk Clerical Assistants to select to participate in the 1-hour workshop that fits their schedule.

Section 4:  HOST TIME SHEET REPORTING REQUIREMENTS

Front Desk Clerical Assistants working in the STEM Center Foundations Lab, STEM Center Main Lab, and TLC are required to submit their hours online via myportal, as per process below.

Section 4.1:  When and where  to submit your hours online (so Payroll can pay you):   Student Hosts must  submit their hours online at the end of each month, to get paid, The steps for entering your hours online are shown below:

  • Step1: Go to myportal.fhda.edu and login with your myportal userid and password. 
  • Step 2:  Click on Apps
  • Step 3:  C;ick on Payroll
  • Step 4:  Click on Time Submission
  • Step 5:  Enter your hours
  • Step 6:  Click Submit

Section 5.0:  COMMON GUIDELINES for FACULTY and STUDENT HOSTs

The following guidelines are provided as a facilitation tool for collaboration  between Front Desk Student Hosts, and both Faculty and Student Tutors, in the Foundations Lab.

  1. FOCUS:  Front Desk Student Hosts are expected to focus exclusively on Front Desk duties.
  2. OUTSIDE OF COMFORT ZONE :  In the event the Student Host feels uncomfortable assisting a student, consult with a Faculty Tutor.
 

Section 5.1:  GUIDELINES SPECIFIC to STUDENT HOSTs

The following guidelines are specific to Student Host responsibilities:

  1. ARRIVAL and DEPARTURE:  Each Student Host should present themselves to the Faculty Tutors when they arrive at the Foundations Lab, Main Lab, or TLC to start their shift. Also let Faculty Tutors know when your shift is completed and you are leaving.
  2. WRITE STUDENT HOST NAME ON THE BOARD: Student Hosts should write their name on the Board (with the text "(Student Host)" in parenthesis, next to their name. Upon departure, Student Host should erase their name from the board.
  3. BADGES:  Each Student Host should be wearing a badge (even a hand-written one) identifying them as a "Front Desk Student Host".
  4. ISSUE RESOLUTION:  In the event of any type of issue, in a case where Student Host cannot resolve, or simply has a question, Student Host should consult with a Faculty Tutor.
  5. KEEP YOUR FOCUS on STUDENTS NEEDING HELP:  Student Hosts should not engage in activities that distract them from focusing on helping the students at the Front Desk and completing the Front Desk Checklist every 1/2 hour. These include doing their homework or having headsets on, or talking on their mobile telephone for non-emergency reasons, or chatting on their laptop for non-job-related topics.
    --Student Hosts  should be walking around , making sure the room is always tidy and orderly. 
    --Focus has to be maintained at all times on the students and the Front Desk.Do not leave the Front Desk unattended from more than 5 minutes
  6. FRONT DESK TEMPORARY STAFFING:  In the case the Student Host needs to be absent for more than 5 minutes, ask one of the Student Tutors (or if there are no Student Tutors, ask one of the Faculty Tutors) to assist with Front Desk duties as needed -- such as calculator returns. 
  7.   FOUNDATIONS LAB OPENING and CLOSING PROCEDURES:   Student Hosts shuld help with opening and closing duties, including bringing in the "Sandich Board", cleaning and unplugging the coffee and hot wated, and making sure the coffee area is clean.

Section 5.2:  GUIDELINES SPECIFIC to FACULTY

The following guidelines are specific to Faculty Tutor responsibilities regarding Student Hosts, in addition to reviewing the above guidelines in Sections 5.0 and 5.1 above:

  1. SUPERVISION and GUIDANCE:  Student Hosts are under the supervision and guidance of Faculty Tutors at all times.
  2. TRAINING:  At times of low or no activity, Faculty Tutors are encouraged to consult with the Student Hosts, sharing their experience and providing guidance on topics such as:
    • Tasks that can improve the Foundations Lab or Main Lab
    • mention suppplies needed
    • What to do if an issue arises while helping a student or under any other circumstances.
    • Ask Student Hosts if they have any questions or need help with something.
  3. SUPPORT ASSIGNMENTS:  Faculty can assign Student Hosts specific tasks if it is towards a need or improvement of the Main Lab or Foundations Lab.
  4. FEEDBACK :  Provide feedback on how th STEM Center can improve the Foundations Lab and Main Lab experience, with Student Host help.
